Depending on how you use QuanTies, we may collect:

• Account and verification information, such as your name, email address, authentication identifiers, profile image and information used to confirm that you meet our access requirements, including your date of birth.
• Profile and collaboration information, such as your contact details, education, work experience, interests, strengths, preferred roles, social links, Ties, Teams, invitations, projects and collaboration preferences.
• Optional demographic and identity information, such as ethnicity, gender-related information, nationality and pronouns, where you choose to provide it.
• Content and communications, such as profile text, images, video, audio, Team content, invitation messages, chat messages, audio files and any text or transcripts you create or send through an enabled feature, and information you send to us for support.
• Technical and security information, such as IP address, request information, browser or device information, timestamps and access or security logs.

We receive most information directly from you or through your use of QuanTies. We also receive account identifiers and verification status from our authentication provider, technical and security information automatically when you use the service, and information about an invitation from the person who sends it. Our authentication, hosting and other service providers may also provide information needed to deliver and secure their services.

If a QuanTies member, or QuanTies, sends you an invitation, we may receive and use your name, email address, the sender’s name, the invitation message and a link or other information needed to send and administer the invitation. The information is provided by the sender or generated by the service. We use it to deliver the invitation, protect the service from misuse and respond to related support or security issues.

Resend may retain a limited provider-side suppression entry for an email address that has produced a hard bounce or spam complaint. We rely on that entry only to prevent another unwanted or undeliverable transactional email and to protect email deliverability. We do not keep a duplicate suppression list in our application or use the entry for marketing, reactivation, profiling, recommendations or AI. The retention period is controlled by Resend, so we do not promise a fixed period. A spam-complaint suppression will ordinarily remain unless you clearly ask to receive email again; a hard-bounce suppression is reviewed only after the delivery problem is confirmed as corrected. We use personal information to:

• create, secure and administer accounts, including checking that a person is old enough to use QuanTies;
• provide profile, Tie, Team, messaging and collaboration features;
• send transactional invitations and account or security communications;
• where you give separate consent, assess and improve the fairness and inclusion of QuanTies through protected aggregate analysis and voluntary user research;
• personalise recommendations and other features using relevant non-identity profile, education, work, interests and strengths information where we have explained the relevant purpose;
• provide AI-assisted profile and collaboration features where you choose to use them;
• operate, maintain and troubleshoot the service;
• prevent fraud, abuse, security incidents and unlawful activity;
• respond to support requests and communicate about the service;
• meet legal obligations and establish, exercise or defend legal claims.

We process account, age-eligibility, profile, collaboration and service-operation information where it is necessary to provide QuanTies under our agreement with you.

Optional demographic and identity information is not required for the core service. We process private self-identification information only with your consent for the fairness and research purposes described in this notice. Where that information is special-category personal data, such as information revealing racial or ethnic origin, we rely on your explicit consent as the separate condition required by law. You can withdraw consent at any time. We will give you clear information and, where required, obtain a new consent before using the information for a new purpose.

We also rely on legitimate interests for security, service administration, abuse prevention and limited operational communications, where those interests are not overridden by your rights. We may process information where necessary to comply with a legal obligation.

To create and keep an account, you need to provide the account and verification information that we request, including an email address and your full date of birth. You must be at least 18 to use QuanTies. We use your date of birth to check your age eligibility before activating an account, for account security and fraud checks, and to resolve age-related support issues. If you do not provide required information, cannot complete verification or do not meet the age requirement, we will not activate or may restrict your account.

Your date of birth is private and is not visible to other members. It is not used for general discovery, Ties, Teams, recommendations or AI-assisted features. Optional identity information and most profile information are not required to create an account. You can choose whether to provide them, subject to the features you want to use.

If you enter your date of birth incorrectly before activation, you can correct it and try again. If the information shows that you are under 18, we will not activate an account and will delete the provisional date of birth, except for any minimal non-identifying security record we need to protect the service. If you need to correct your date of birth after activation, contact us at hello@quanties.io. We will recheck eligibility and may restrict an account if the correction shows that the member is under 18.

You may choose whether to provide demographic and identity information, such as ethnicity, gender-related information, nationality or pronouns. It is private, optional and not required to use QuanTies.

Where you have given the relevant consent, we use this information only to assess and improve the fairness and inclusion of QuanTies through protected aggregate analysis and voluntary user research. It is not used as an input to Quant, OpenAI or an individual decision. We may invite you to take part in voluntary user research only where you have separately agreed to receive research invitations.

We do not use this information to personalise your experience, rank, recommend, match, screen or exclude you; decide whether you can use QuanTies; target advertising; or show it to other members, Team owners or request creators. We do not automatically include it in Quant or other OpenAI inputs, and we do not infer it from your name, image, messages or activity.

Where we create aggregate fairness findings, we use safeguards designed to prevent individuals from being identified. We do not publish or share demographic findings about small groups. You can withdraw consent or remove the information at any time. This will not affect processing that took place before withdrawal, or non-identifying aggregate results that cannot be linked back to you.

QuanTies may use relevant non-identity profile, education, work, interests and strengths information to personalise recommendations and other service features. This may involve automated processing to generate suggestions. Optional demographic and identity information and date of birth are not inputs to recommendations or other personalised service features. These features do not make decisions with legal or similarly significant effects, determine your access to QuanTies, or provide outputs that are the sole basis for high-impact decisions about you.

Quant is an optional AI-assisted text feature in the current MVP. QuanTies may make a Quant connection or chat available to you, but Quant does not contact you or send an interaction to OpenAI until you choose to start one. To generate a response, Quant may send the conversation content and relevant recent chat context needed for that response to OpenAI. Voice and dictation features are not offered to members in this MVP. If we introduce them in the future, we will update this notice and provide any additional information required before they are used. Quant does not make high-impact automated decisions about employment, education admission, credit, insurance, housing, healthcare or access to essential services.

Where you choose to use other AI-assisted profile features, we may send the parts of your profile needed for that feature to OpenAI, such as profile overview, education, work, interests, strengths or role-fit information. We do not automatically include optional identity information or date of birth in these AI inputs. However, you should not submit sensitive personal information to Quant, including by typing or pasting it into a chat message.

Where we use OpenAI's Responses API, we configure the request not to create OpenAI application state for the response. This does not prevent OpenAI from processing information under its applicable safety, security or legal controls.

Signed-in members can search for and view member profiles. The detail they can see depends on the profile, Tie and Team visibility settings that apply. Users and Team owners can control the visibility of some information.

Team details described as public are available to signed-in QuanTies members. Private Team details are available to Team members and any additional audience selected by the Team owner. Invitations are available to their sender and recipient. Chat messages are available only to their participants.

Optional demographic and identity information and your date of birth are not shown to other members.

Authorised people acting for QuanTies may access personal information where needed to operate, support, secure or investigate misuse of the service.

We may use carefully selected service providers for authentication, cloud hosting, database services, file storage, email delivery, content management, security and AI-assisted features. We share personal information only to the extent reasonably necessary for those services. Where applicable law requires safeguards for a provider arrangement or transfer, we will use the required safeguards.

At the date above, these providers include Clerk for authentication, Vercel and Vercel Blob for hosting and image storage, Neo4j for application data, Resend for invitation email delivery, OpenAI for Quant and AI-assisted profile features, Storyblok for content-area content and carousel artwork, and Railway for job-title search.

QuanTies fetches Storyblok content configuration on its servers. When a content-area carousel is shown, your browser may request its artwork directly from Storyblok. Storyblok is not used for QuanTies member profiles, Ties, Teams or messages. If you use the job-title search, your browser sends the search text and routine technical request information directly to Railway to return job-title suggestions. Your selected result is sent to QuanTies only when you save it to your profile.

A provider may process limited information as an independent controller where necessary for its own legal, security, fraud- prevention or account-management purposes, under its own privacy notice. We may also share information where required by law or where necessary to protect QuanTies, our users or others.

Some of our service providers may process personal information outside the United Kingdom. Where a restricted international transfer applies, we will use an appropriate safeguard recognised by applicable law. You can contact us for more information about the safeguards relevant to your information.

We keep personal information while your account is active and it is needed to provide QuanTies. We review this at least annually and remove information that is no longer needed.

If you update or clear a profile field, we update the live profile. Previous values may remain in protected profile-revision records while needed to maintain service integrity, investigate misuse, resolve a dispute, comply with law or deal with legal claims. We review and delete or anonymise those records when they are no longer needed.

If you withdraw consent for optional demographic and identity information, we stop using it for fairness and research purposes. We stop using it and delete the identifiable value and its identity-revision history promptly from our active records. A minimal non-identifying accountability record may remain where needed to evidence the consent or withdrawal. Non-identifying aggregate findings that cannot be linked back to you may be retained.

An account becomes inactive after 24 consecutive months without meaningful account activity, such as signing in, updating a profile or participating in an active collaboration. We will contact you before this point. If the account is not reactivated, we will deactivate it, remove it from discovery and begin the account-deletion process after a 30-day recovery period.

When you delete your account, we will immediately deactivate it, end access, remove your profile from discovery and recommendations, and stop non-essential communications. We will then erase your personal data from our live systems through our deletion process. This includes relevant account and profile data, profile media, Ties, pending invitations and messages we can delete without preventing other members from retaining their own shared records. We will remove direct identifiers from, or delete, redact or anonymise shared records where appropriate.

We retain the minimum necessary record of a deletion request for up to 12 months. Residual copies may remain in backups or caches until they are overwritten or expire under the relevant provider’s retention practices. We restrict those copies from normal use and do not restore them except where necessary for security or service continuity. We retain security and access logs for 12 months, unless a longer period is reasonably necessary to investigate abuse, protect the service, comply with law or establish, exercise or defend legal claims. We retain support and privacy correspondence for as long as needed to handle the request, maintain an appropriate record and resolve disputes.

Invitations expire after a maximum of 30 days and a sender can revoke a pending invitation at any time. When an invitation expires, is revoked or is accepted, we remove the application-held invitation token, message, recipient details, related notification and application-held email-delivery record. We retain only a minimal, non-identifying audit record of the invitation ID, type or channel, relevant timestamps and outcome for 90 days. Email-provider records and backups are subject to the provider’s own retention practices.

QuanTies uses authentication, access controls, server-side authorisation checks and hosted infrastructure. We use measures designed to protect personal information, but no online service can guarantee absolute security.

Depending on applicable law, you may have rights to access, correct, delete, restrict or object to our use of your personal information, receive a portable copy of certain information, or withdraw consent. You can manage certain profile information directly in QuanTies. For other requests, email hello@quanties.io. We may ask for information needed to verify your identity and will respond within the period required by applicable law.

You can withdraw consent for optional demographic and identity information at any time by changing the relevant choice or removing the information in QuanTies, or by contacting us at hello@quanties.io. Withdrawal does not affect the lawfulness of processing before it was withdrawn.

Your right to object: where we rely on legitimate interests, you can object to our use of your personal information by contacting us at hello@quanties.io. We will stop that use unless we have compelling legitimate grounds that override your interests, rights and freedoms, or we need the information for legal claims.

If you are unhappy with how we handle your information, please contact us first. You may also complain to the UK Information Commissioner’s Office at ico.org.uk/make-a-complaint.

QuanTies is for people aged 18 or over. We do not knowingly provide accounts to people under 18. If we learn that an under-18 has an account, we will restrict access and begin deletion promptly.
